
Two office-cleaning proposals can look similar while covering very different work. One may include a particular task every visit; another may include it only periodically or leave it out. A useful comparison starts with the rooms, tasks and service frequency your office needs.
A worked example: turn vague wording into questions
This example is illustrative, not a customer case or a recommended cleaning frequency. Imagine a proposal that says only “clean the office weekly.” Before comparing its price with another proposal, ask what each line means:
- “Clean desks”: Does this mean accessible, cleared surfaces only? Who puts away papers, and are screens or keyboards excluded?
- “Clean floors”: Which rooms and floor types are covered? Are edges and areas under movable items included? List any furniture that will not be moved.
- “Service restrooms”: Identify the fixtures, surfaces and floors included. Separately agree who supplies and replenishes paper products and soap.
- “Clean the break room”: Distinguish counters and appliance exteriors from dishes, refrigerator interiors and food disposal.
A clearer example entry could read: “Meeting room: wipe the cleared table at each agreed visit; staff remove papers beforehand; electronics excluded.” The parties still need to agree on suitable methods, visit frequency and price. The value is that both can check the same task afterward.
Walk through the office with both proposals
For each area, mark each task as included, excluded or unanswered in each proposal. An unanswered item is a question, not an assumed inclusion. Record frequency separately from the task, then ask each provider to confirm corrections in writing before accepting a scope or comparing totals.

Map the areas before choosing a schedule
List reception, work areas, meeting rooms, restrooms and break areas. Note which spaces are heavily used and when cleaning can occur. Identify restricted areas without putting passwords, alarm codes or private business information in the scope worksheet.
Put frequency beside each task
Create one row per task, then choose a frequency to discuss: each visit, weekly, periodic or by request. Describe accessible surface work and floors clearly. Ask about consumable supplies and who is responsible for replenishment. Do not assume all items are included because the proposal says janitorial service.
Clarify the work outside the routine
Windows, appliance interiors, unusual residue and work requiring specialist handling should be discussed separately. A general office-cleaning agreement should not imply medical, hazardous-material or specialized remediation capabilities. Describe the actual property and conditions before requesting a quote.
Make access and communication practical
Agree on arrival windows, a responsible contact and how unexpected conditions are reported. Record who can authorize extra work. Arrange secure access through the agreed private channel. Keep a clear route for reporting a missed task without circulating unnecessary staff or customer information.
Review against the agreed scope
A service review can be simple: which agreed tasks were completed, which need attention, and whether the office’s needs have changed. Use specific observations and allow a response. Review the work against the written agreement rather than introducing new expectations afterward.
