Why a written janitorial scope matters
Prices cannot be compared fairly when vendors are pricing different tasks, frequencies or service standards. A useful RFP defines the cleanable area, work zones, visit schedule, access restrictions, consumable responsibilities and quality-control process.
Core sections to include in a janitorial RFP
- Facility profile: building type, cleanable square footage, floors and operating hours.
- Area counts: offices, restrooms, kitchens, breakrooms, lobbies, classrooms and public spaces.
- Service frequency: visits per week and preferred cleaning window.
- Task frequencies: work required every visit, weekly, monthly or periodically.
- Flooring: carpet, tile, vinyl, hardwood and any excluded specialty floor care.
- Access and security: keys, alarms, badges, restricted rooms and background requirements.
- Supplies and consumables: who provides liners, paper goods, soap and cleaning products.
- Quality control: inspection, issue reporting, authorized contacts and service records.
- Insurance and pricing: requested proof of coverage, pricing structure and extra-work authorization.
Questions management should settle first
- Which tasks are essential every visit?
- Are there high-traffic or public-facing areas needing extra attention?
- Can cleaning happen during operating hours?
- Who can authorize additional work?
- Which specialty services are excluded from the regular agreement?
Use one scope for every bidder
Send the same final document to each qualified vendor and request that exclusions or assumptions be stated in writing. This makes price differences easier to understand and reduces surprises after service begins.
